Job Description: 

We are seeking a PMO (Project Management Office) Manager to play a pivotal role in evolving our maturing unit into a fully centralized best in class Project Management Office. This position will be responsible for advancing BWF’s project management maturity through organizational design, tool adoption and process standardization, documentation, and training within our developing PMO to ensure the successful adoption and enablement of industry standards that best supports the business and consultants, successful client engagement and maximum efficiency.  This position oversees and trains the PMO team, maintains a small portfolio of client projects, and ensures the ongoing evaluation and refinement of the PMO’s technology utilization, practices, and protocols. This role relies heavily on previous management and project management experience, organizational skills, communication, and disciplined and proactive time management. The ability to exercise initiative, independent judgement, and have accountability for various processes and projects is critical.

Essential Functions 
Program Management and Development (50%) 

  • Work closely with leaders and other key partners to understand BWF’s services, structure, strategic plan, clients, and best practices. 
  • Design, develop, and maintain standardized project management methodologies, tools, and processes to optimize project efficiency and ensure consistent delivery. 
  • Partner with PMO and other key partners on the design, development, and implementation of the program. 
  • Create process documentation with consistent formatting that is easy to understand for all users. 
  • Train team members and ensure adoption of new processes. 
  • Continuously evaluate and enhance existing processes, incorporating feedback and lessons learned to drive improvement. 
  • Stay up to date with industry trends and best practices in project management and provide recommendations for process improvements and efficiency enhancements. 

Management Responsibilities (40%) 

  • Provide supervision and guidance to PMO team members, including assigning tasks, monitoring progress, and providing feedback on performance. 
  • Conduct regular check-ins and meetings with direct reports to review progress, address challenges, and provide support and guidance. 
  • Mentor and coach PMO team members, fostering their professional development and growth within the organization. 
  • Assist in recruitment and onboarding process for new Project Associates, including conducting interviews and proving input on hiring decisions. 
  • Foster a positive and inclusive team culture, promoting collaboration, open communication, and a shared commitment to BWF’s goals and values. 
  • Resolve conflicts and escalate issues as necessary to ensure optimal team performance. 
  • Maintain accurate records and documentation related to performance and progress of team members. 

Project Management Responsibilities (10%) 

  • Manage day-to-day operations of multiple projects from start to finish including budgets, deliverables, milestones, and required activities; communicating project status with consultants and clients on a regular basis. 
  • Collaborate with consulting team members and clients to gather requirements for the creation of both internal and client-facing documentation and reports, data analysis benchmarking, and other project specific deliverables. 
  • Other duties as assigned. 
Requirements: 

Qualifications 

  •  5+ years of project management experience and the ability to manage multiple components of complex projects. 
  • 2+ years of experience managing a team. 
  • Excellent written and oral communication skills. 
  • Ability to maintain confidential and sensitive information. 
  • Well-developed organizational and prioritization skills; flexibility; attention to detail; and the ability to work both independently and with a team toward a common goal. 
  • Proficiency in Microsoft Office applications. 
  • Strong analytical, and interpersonal skills; initiative and follow-through; sound discretion and judgment. 
  • Commitment to diversity, equity, and inclusion. 
  • Proficiency in project management tools, survey software, database applications and Internet research tools. 
  • Additional certifications are a plus, including PMP, other project management certification(s), Six Sigma, etc. 
  • Familiarity with the nonprofit sector a plus.

Location, Hours and Working Conditions

  • This position is based in our Minneapolis office.  Employees in our Minneapolis office are currently working in a hybrid model, spending at least three days in the office and working two days remotely.
  • Our building offers free covered parking, an onsite gym and cafe, 24-hour security, and nearby shopping and restaurants.
  • Position requires ability to work in a stationary position for majority of workday. 
  • Continuous use of computer. 
  • Frequent communication with team and clients via zoom and in person. 
  • Overnight travel to client sites, conferences, or firm meetings is sometimes required (up to 10%).
  • We strive to provide work/life balance whenever possible but due to the nature of this role, weekend and evening hours are required when deadlines need to be met .

Compensation and Benefits 

Annual base salary range of $85,000 to $110,000 based on qualifications and experience.
